Vendor Agreement for the Mother's Day Sip & Pour Event

Event Title: Mother's Day Sip & Pour

Date of Event: Saturday, May 4, 2024

Location: 3010 6th Ave South, Birmingham, Alabama (Avondale)

Event Time: 12 PM to 4 PM

Vendor Setup: No later than 11:30 AM, with setup beginning at 8:30 AM

Terms and Conditions:

  1. Participation Fee: Each vendor must pay a fee of $40 for the pop-up shop. Fees must be paid in full before set up on the event grounds.

  2. Vendor Eligibility and Restrictions: Priority will be given to women-owned and Black-owned businesses. This event is open to a wide range of industries, excluding candle vendors, to maintain the event's unique theme.

  3. Permits and Licenses: Vendors must possess and display all necessary permits and licenses during the event.

  4. Setup and Breakdown: Vendors are responsible for completing their setup by 11:30 AM and removing their materials, including post-event cleanup.

  5. Liability and Affiliation: Vendors participate at their own risk. The event organizers will not be held responsible for any damages, theft, or losses incurred. This event does not affiliate with the businesses of the vendors.

  6. No Refund Policy: No refunds for cancellations made after April 25, 2024, will be issued. The event will proceed regardless of weather conditions.

  7. Cancellation Policy: Cancellations made before April 25, 2024, will be eligible for a full refund. Cancellations after this date will not be refunded but may be applied towards participation in a future event.

  8. Event Advertising: The event will be promoted through various channels, including social media, print media, and other outlets, to ensure a broad reach.

  9. Equipment Rentals: Tables are available to rent for a $15 fee. Chairs will be provided. Vendors are encouraged to request tables in advance due to limited availability.

  10. Space Management: Vendors must maintain a neat and organized space within their assigned boundaries. All materials must be removed from the venue by 5 PM on the event day.

  11. Electrical Access: Electrical outlets will be provided on a first-come, first-served basis upon request.

  12. Equipment and Tent Recommendations: While tents are not required, they are recommended for outdoor setups. Vendors may bring their own tables, chairs, and tents, provided they adhere to the event's standards and safety requirements.

Agreement to Terms:

By participating in the Mother's Day Sip & Pour event, vendors acknowledge and agree to the terms and conditions outlined in this agreement.
